A real-world office buildout without legacy baggage
A few years ago, I had the opportunity to put together a small business office network for a company that was already operating in a completely cloud-native model. That detail mattered.
There were no on-premises servers to migrate, no domain controllers to protect, no file shares to redesign, and no legacy line-of-business application stack sitting in a closet waiting to become someone’s weekend problem. The business already relied on cloud services, so the office buildout could focus on the things that actually made the workplace usable: reliable connectivity, clean workstation experiences, good endpoint ergonomics, practical power protection, and simple operational resilience.
The result was not an over-engineered enterprise data center in miniature. It was a right-sized small business network designed around how people actually worked.
The advantage of starting cloud native
The most important design decision had already been made before the project started: the company did not depend on local servers.
That changed the entire architecture. In a traditional small business buildout, a lot of effort can go into server placement, backup appliances, Active Directory availability, local file storage, application hosting, and disaster recovery planning for physical infrastructure. In this project, those concerns were largely removed from the office footprint.
The network did not need to be designed as the center of the business. It needed to be designed as the office’s path to the business.
That meant the design priorities were straightforward:
- Reliable internet access
- Secure routing and firewall policy
- Strong wireless coverage
- Switching and physical connectivity
- Printer access where needed
- Battery-backed core infrastructure
- Guest network separation
- Standardized workstation deployment
What the design did not need was a fragile collection of servers, local storage, and one-off dependencies. That distinction is huge for small businesses. When cloud services are the system of record, the office becomes more portable, more resilient, and easier to support.
Designing for 25 productive workstations
The workstation side of the project was built around 25 workstation kits in a mixed Windows and Mac environment. That meant standardization had to be flexible rather than rigid.
Each workstation was planned around the user’s actual working style. Some users needed docking stations. Some needed dual monitors. Some preferred a single large widescreen configuration. Others benefited from laptop stands, external keyboards, mice, and better desk ergonomics.
The workstation standard included:
- Mac or Windows docking stations
- Dual monitor options
- Single large widescreen monitor options
- APC UPS units
- APC power stations with USB charging
- Laptop stands
- Keyboard and mouse choices
- Standing workstation or lifting desk options by request
That may sound like a facilities detail, but in a small business environment it is directly tied to productivity and supportability. A cloud-native office does not need a server room full of complexity, but it does need users to have workstations that are comfortable, consistent, and easy to support.
If every desk is assembled differently with random adapters, consumer-grade power strips, mismatched monitors, and mystery peripherals, support becomes harder than it needs to be. This project avoided that by treating workstation kits as part of the infrastructure.
Supporting Windows and Mac without making it chaotic
Mixed operating system environments are common in smaller businesses. Some roles are better served by Windows devices. Others may prefer or require Mac systems. The important lesson is that mixed endpoint environments do not have to be chaotic.
The key is to standardize around the parts that matter:
- Docking experience
- Monitor connectivity
- Power protection
- Keyboard and mouse availability
- Desk layout
- Network access
- Cloud identity and application access
Cloud-native companies are especially well-suited for this approach because the endpoint is usually an access point into cloud applications, collaboration platforms, email, storage, and browser-based systems. That does not mean endpoint management is optional. It means the network and workstation layer can be designed around consistent access and usability rather than legacy server dependency.
Executive workstations: different needs, same philosophy
Not every user needs the same workstation profile. The executive desktop configuration in this buildout used OptiPlex desktops with large ultrawide monitors. That made sense for users who needed a stable, permanent office setup with more screen real estate and less reliance on docking or mobile hardware.
This is another reminder that standardization does not mean forcing everyone into the exact same equipment. Good standardization means defining supported patterns.
- Mobile workers may get laptops, docks, and dual monitors.
- Desk-based executives may get desktops and ultrawide displays.
- Users with ergonomic needs may get standing desks or lifting desks.
- Shared or guest spaces may use simpler configurations.
The goal is not sameness. The goal is supportability.
Building the network around internet resilience
Because the business was cloud native, internet connectivity was mission critical. The office buildout included dual WAN service with fiber as the primary connection and a cable modem backup. For a cloud-native small business, this is one of the smartest investments you can make.
If there are no local servers, then internet access becomes the path to nearly everything: email, collaboration, cloud files, SaaS applications, identity services, voice, meetings, browser-based business systems, and remote support tools.
A single internet circuit becomes a single point of failure. Adding a secondary connection gives the business a practical safety net without requiring enterprise-level complexity.
Cloud-managed network gear for a cloud-native business
The network stack included a cloud-managed Cisco Meraki MX68 and Meraki MR wireless access points. That type of platform fits very well in small business environments because it supports centralized visibility and easier remote administration.
For a small business, cloud-managed networking can be a major support advantage. You do not need to be physically on-site every time you want to check device status, review connectivity, validate wireless health, or make a configuration adjustment. That matters when the business does not have a full-time internal network engineer.
This is where small business design should be practical. The best network is not always the one with the most knobs to turn. It is the one that can be monitored, maintained, documented, and supported consistently.
Guest access without compromising the business network
The buildout also included a separate guest wireless approach. Guest networking is often overlooked in small office designs, but it should not be.
Visitors, vendors, personal devices, and temporary users should not need access to the production business network. A dedicated guest wireless design helps keep casual internet access separate from internal business operations.
In this project, production access and guest access were treated as different requirements. That is the right mindset. Guest access should be convenient, but it should not be trusted by default.
Switching, power, and the often-ignored infrastructure layer
The office buildout included Ubiquiti Ethernet switches and a Cloud Key. It also included APC rackmount batteries with cloud management. This is the kind of infrastructure that users rarely notice when it works and immediately notice when it does not.
Switches, battery backups, rack power, and network management are not the glamorous part of an office buildout, but they are the foundation. If the firewall, switches, and access points lose power or become unmanaged, the user experience suffers quickly.
The APC rackmount batteries gave the core network equipment protected power, while cloud management helped support visibility into that layer. Combined with workstation-level APC UPS units and power stations, the design considered both the network closet and the desk experience.
Printers still matter
Even in cloud-native environments, printers still show up. While many businesses are reducing print dependency, small offices still often need printing for contracts, shipping, finance, HR, customer paperwork, or operational workflows.
The key is not pretending printers do not exist. The key is making them part of the supported network design instead of letting them become unmanaged appliances plugged in wherever someone found an Ethernet jack.
In a modern office buildout, printing should be documented, segmented where appropriate, and treated as part of the endpoint and network support model.
What made this buildout work
The success of this project came from matching the design to the business. This was not a server-heavy environment. It was not a branch office dependent on legacy applications. It was a small business that already lived in the cloud and needed the office to provide reliable, secure, and comfortable access to that cloud workspace.
The design worked because it focused on practical outcomes:
- Users had standardized workstation kits.
- Windows and Mac users were both supported.
- Executives had appropriate desktop configurations.
- Internet connectivity had redundancy.
- Wireless was cloud-managed.
- Guest access was considered separately.
- Switching and power were planned.
- Network printers were included in the design.
- No unnecessary server footprint was introduced.
That last point is important. Sometimes the best infrastructure decision is choosing what not to deploy.
Lessons learned
Looking back, this project is a good example of how small business networks have changed.
Years ago, a small business buildout almost automatically meant a server, a domain controller, shared drives, local backup, and maybe a line-of-business application running on aging hardware in a closet. Today, that is not always necessary. If the organization is already cloud native, the office network can be simpler, cleaner, and easier to support.
The lesson is not that every business should eliminate all local infrastructure. The lesson is that the network should reflect the operating model of the company.
For a cloud-native small business, the priorities are different:
- Protect internet access.
- Standardize the workstation experience.
- Make wireless reliable.
- Keep guest traffic separate.
- Power-protect the core network.
- Avoid introducing legacy complexity unless there is a real business reason.
Final thoughts
This small business network buildout was a practical reminder that modern infrastructure does not have to be complicated to be effective.
With no servers to maintain, the focus shifted to connectivity, usability, resilience, and supportability. The company needed a reliable office experience for 25 workstations, support for both Windows and Mac users, a sensible executive desktop setup, redundant internet, cloud-managed networking, guest access, protected power, and network printing.
That is where good consulting matters. The goal is not to sell complexity. The goal is to build the right environment for the way the business actually works.
For this project, the right answer was a clean, cloud-native office network with no unnecessary server footprint — just the infrastructure needed to keep people connected, productive, and supported.
